General contractor software features: the whole company, not just one job
All your jobs in one list
Each job has its own file with its estimates, invoices, site notes and photos.
Margin on every estimate
Each estimate carries its internal cost and margin, so you check the number before you send it. The customer never sees it.
Estimates you can follow
See when each estimate is opened, accepted or declined. Estimates expire on their own once their validity date passes.
Who owes you
Unpaid and partly paid invoices at a glance. Record payments by cash, card or bank transfer, even split ones.
Expenses with their receipts
Log each expense with its tax, category and receipt. Snap a photo and the AI assistant fills it in for you.
Income and expense ledger
By month, quarter or year, exported to Excel or CSV, plus a sales tax summary.
Team logins with permissions
Unlimited users. You decide what each person can see and do, from the office manager to the foreman.
Your accountant, read-only
Your bookkeeper gets their own login to view and export the ledger, without touching anything else.
Ask in plain English
“Who owes me money?” or “What did I invoice this quarter?” The assistant answers with your own numbers.
With five jobs open, the problem isn’t the job anymore: it’s the company
One job fits in your head. Five don’t. Estimates go out and you lose track of which ones the customer has even opened, deposits get invoiced late, and at the end of the quarter your accountant asks for a list of income and expenses that nobody has put together.
General contractor software keeps all of that in one place: every job with its estimates and invoices, every expense with its receipt, and a ledger your accountant can open on their own.
Example: one month at a contractor with five jobs
Monday morning you open the job list. The Oak Ave. ADU estimate ($118,300, 16.9% margin) was signed over the weekend, so you invoice the 30% deposit with one click before ordering lumber.
The Riverside retaining wall estimate has been opened twice but not answered. You can see exactly when the customer looked at it, so you call while it’s still fresh.
On Thursday you ask the assistant “who owes me money?” and get the dental office’s second invoice, still unpaid. On Friday you snap photos of the week’s supply receipts and the assistant fills in each expense.
At month end you export the ledger to Excel and send it to your accountant, or simply let them log in and download it themselves.
Check the margin before you send the estimate, not after you finish the job. Once it’s signed, the price is set.
Spreadsheets vs. general contractor software
| Task | Spreadsheets and email | Gremio Software for general contractors |
|---|---|---|
| Open estimates | A folder of PDFs and a reminder in your head | A list with when each one was opened, accepted or declined |
| Margin | Worked out once, in another file | Stored on every estimate, never shown to the customer |
| Unpaid invoices | Checked against the bank statement | Paid, partly paid and unpaid at a glance |
| Expenses | A shoebox of receipts | Logged with their receipt, or filled in from a photo |
| Accountant | Emails asking for the numbers | Their own read-only login to the ledger |
Who this general contractor software is for (and who it isn’t for)
It’s built for:
- Small construction and remodeling companies with several jobs open at once.
- Owners who want estimates, invoices, payments and expenses in one place, with a team that each sees only what they need.
It’s not what you’re looking for if you need:
- Cash flow forecasting, purchasing or payroll.
- Actual vs. estimated job costing: expenses aren’t assigned to a job.
- Progress billing with pay applications and retainage, subcontractor management or Gantt-chart scheduling.
- A deep dive on one job at a time: see contractor management software.

Frequently asked questions
Can I see the margin of each job?
You see the internal cost and margin of every estimate, which the customer never sees. The software doesn’t compare it with the actual cost of the job, because expenses aren’t assigned to a job.
Can I limit what my foremen see?
Yes. Users are unlimited and you choose what each person can see and do.
Can my accountant get in?
Yes, with a read-only login to view and export the income and expense ledger, without touching anything else.
Does it do cash flow forecasting?
No. You see what’s been invoiced, what’s been paid and what’s still open, plus your expenses, but there’s no cash flow forecast.
How much does the general contractor software cost?
US$16.95 a month, one plan with every feature included, month to month: cancel anytime. The best place to start is a free demo.
Can it handle sales tax?
You set up the sales tax rates where you work (state, county, city) and they’re applied on every estimate and invoice. A sales tax summary by month or quarter exports to Excel or CSV for your return.
